Our Community Support Services (CSS) team provides essential services that enable our clients to thrive. Whether their disability is physical, the result of brain injury, or aging, our more than 2,000 team members assist clients in their homes and across communities, to live as independently as possible.
The opportunity
We are looking to fill one Permanent Full-Time Service Administrative Assistant position for our Edmonton, AB offices.
Hours: 35 hours per week
Responsibilities
- Provide administrative support to the Community Support Services team
- Accurately enter and manage various program data in electronic systems, ensuring precision and attention to detail throughout all entries
- Assist with the preparation, submission and electronic filing of confidential documents and internal recording systems for employee records.
- Process vendor invoices and personal expense statements within the ERP system, ensuring compliance with company policies and timely payment cycles.
- Perform accounts payable functions, including reconciling vendor accounts to ensure accuracy and resolving discrepancies.
- Provide administration support for programs (i.e. correspondence, file management, co-ordinate staff meetings, orientation and training etc.)
- Support the new hire process, including preparing offer letter documentation, managing electronic signature workflows, and entering employee information into the Dayforce HRIS system.
- Enter data, and prepare payroll and finance reports for program managers
- Update and maintain organizational manuals electronically, ensuring all digital versions are current and accessible through the designated document management system.
- Provide various monthly reports to management team.
- Maintain and assist with continuous improvement of data collection systems to support the programs
- Coordinate travel arrangements for staff, ensuring all required approvals and supporting documentation are completed,
Qualifications and experience
- Minimum Grade 12. Business / related college diploma preferred.
- Minimum 3 years related administrative experience
- Advanced experience in Microsoft Office; Word, Excel, and SharePoint
- Strong proficiency in grammar and accuracy with numerical data, demonstrating exceptional attention to detail.
- Familiarity with Quality Management Systems including ISO
- Ability to function in an organized manner
- Ability to take initiative and problem solve
- Ability to take verbal and written direction and follow through to complete assigned tasks
- Flexibility to changing demands of the job
- Strong interpersonal and communication skills
- Possess a valid driver’s licence and access to reliable vehicle
- Fluency in French and/or Inuktitut not required but an asset
Important details
- This is a fully remote position
- Candidates must reside in Canada
- Preference for those in Edmonton, AB to align with team schedules
