Skills Development and Employment ensures that people with disabilities find and keep meaningful jobs by matching them with employers seeking qualified job candidates. In addition, they offer support with assessments, rehabilitation and child and youth programs.
The opportunity
- Responsible for providing administrative and professional support to the Executive Director/Vice President of Skills Development & Employment (SDE) and the program's leadership team.
- Ensure exceptional service while professionally representing the Executive Director/VP, SDE to all internal and external stakeholders.
- Play a key role in ensuring smooth day-to-day operations, facilitating effective communication, and supporting strategic initiatives within the Skills Development & Employment portfolio.
Responsibilities
- Senior-Level Support: Provide high-level administrative support in a fast-paced, deadline-driven environment while maintaining confidentiality and accuracy.
- Stakeholder Management: Maintain relationships with employees, donors, community stakeholders, consultants, clients, and volunteers, ensuring professionalism, sensitivity, and discretion.
- Calendar & Scheduling: Manage the Executive Director/Vice President's calendar, proactively resolving any scheduling conflicts.
- Correspondence & Confidentiality: Handle correspondence, requests for information, and sensitive matters, raising issues as needed.

Meeting Coordination:
- Prepare agendas and meeting packages
- Record and distribute minutes
- Arrange travel logistics and provide administrative support
- Document Preparation: Draft and edit memos, reports, agreements, presentations, and other documents, ensuring accuracy and compliance with organizational policies.
- File & Document Management: Establish and maintain a confidential office filing system and document database.
- Leadership Support: Assist Directors and senior leaders by coordinating meetings, preparing materials, and tracking key action items.
- Strategic Initiatives: Support the development and monitoring of strategic initiatives, ensuring timely follow-ups and progress tracking.
- Internal Communication: Coordinate team-wide communications to ensure alignment across departments.
- Special Projects: Manage and execute special assignments as directed.
Qualifications and experience
- Minimum 5 to 10 years of senior administrative experience, supporting multiple executives and managing complex schedules, preferably in a non-profit organization.
- University degree or college diploma in a relevant field, or an equivalent combination of education and experience.
- Strong organizational skills, with the ability to prioritize multiple tasks seamlessly and maintain excellent attention to detail.
- Excellent oral and written communication skills.
- Strong interpersonal skills with cross-cultural sensitivity and the ability to build relationships with stakeholders, staff, management, executives, external partners, donors, and volunteers.
- Experience working in a fast-paced, multi-stakeholder environment.
- Proficiency in Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, Forms, and SharePoint.
- Proficiency with virtual meeting platforms, such as Teams, Zoom, and Webex.
- Proven ability to handle sensitive and confidential issues appropriately.
- Ability to anticipate and respond to needs, using sound judgment and decision-making skills.
- Strong communication skills, both written and verbal, with a professional and diplomatic approach.
- Proactive and resourceful, with the ability to work independently and take initiative.
- Excellent attention to detail and a high degree of accuracy in all work.
- Strong problem-solving abilities and flexibility to adapt to changing priorities.
- Discretion and professionalism, with the ability to handle confidential and sensitive information.
- Collaboration mindset, fostering a positive and supportive work environment across teams.

- Hybrid work arrangement - 3 days in our Toronto office.
