Skills Development and Employment ensures that people with disabilities find and keep meaningful jobs by matching them with employers seeking qualified job candidates. In addition, they offer support with assessments, rehabilitation and child and youth programs. 

 

The opportunity

 The Program Assistant is responsible for supporting administrative tasks related to Clinical Services, including referral management, appointment coordination, report handling, and administrative tasks. The role ensures timely, accurate processes in compliance with organizational policies and funder requirements.

Responsibilities:

Referral Management

  • Receive and process referrals in internal systems, ensuring program compliance.
  • Verify information accuracy and initiate workflows for seamless referral management.

Appointment Coordination

  • Arrange appointments by selecting appropriate assessors based on client needs.
  • Coordinate meeting rooms and interpretation services as needed.
  • Confirm appointments with clients and provide necessary preparatory information.

Cancellations and Adjustments Management

  • Handle cancellations and rescheduling while optimizing schedules for additional assessments or adjustments.

Document and Report Management

  • Ensure secure transmission of documents to assessors and stakeholders, adhering to confidentiality protocols.
  • Upload and archive reports in internal systems for accessibility and traceability.
  • Draft, prepare, and send confirmation letters in a timely manner.

Administrative and Financial Support

  • Maintain accurate tracking of billing and payments for services rendered.
  • Utilize internal management tools to maintain precise administrative records.

Business Development Support

  • Contribute to identifying new contracts and sourcing qualified external assessors.
  • Support administrative efforts for business development, including preparing documents, managing contacts, and organizing meetings.

Qualifications:

  • High school or college diploma in administration, management, or related field (preferred).
  • Bilingual in French and English with strong written and oral communication skills.
  • Experience in administrative coordination (rehabilitation or employability services experience is an asset).
  • Strong organizational skills to manage multiple priorities in a dynamic environment.
  • Entrepreneurial mindset for process improvement and efficiency optimization.
  • Proficiency in word processing, database management, and spreadsheet tools.
  • High attention to detail and ability to meet tight deadlines.
  • Flexibility to adapt to unforeseen demands while maintaining quality.
  • Commitment to confidentiality and organizational policies.
